Delivery guideline
Objective of the delivery guideline
WWM GmbH & Co. KG (hereinafter referred to as ‘WWM’) operates modern, partially automated warehouse and logistics systems as a service provider for its customers. Strict compliance with logistical, administrative and organisational premises is necessary in order to ensure smooth logistical processing between your suppliers and the incoming goods department, which works on a cross-customer basis, and to avoid the need for clarification and additional work due to manual or additional handling requirements. Unless otherwise regulated (e.g. site or product-specific), this delivery guideline sets out general rules that are standardised across all customers and suppliers, according to which materials are delivered for WWM or for its customers, which information must accompany a delivery in paper form or electronically and which packaging materials and loading aids can be used. This guideline also regulates the procedure in the event of deviations and the responsibilities for compliance with these rules.
Scope of application
This delivery guideline is valid for all deliveries of merchandise, auxiliary materials, raw materials or operating materials (hereinafter referred to as material or article) to WWM, irrespective of the customer for whom the goods are intended (goods recipient) and also irrespective of the supplier or the ordering method used. This guideline is an integral part of WWM's general terms and conditions and of customer-specific contracts. It shall enter into force in the version stated on the date stated and shall apply until cancelled by WWM.
Delivery address
For deliveries to WWM GmbH & Co. KG, the following address must always be given in full. This address must also be used on accompanying documents and - if applicable - on the associated invoice documents. As part of the delivery address, the customer of WWM must also be stated as the recipient of the goods.

Acceptance times
Mondays to Fridays 08:00 to 12:00 and 13:00 to 17:00. Deliveries arriving later can only be accepted in individual cases agreed in good time against payment of expenses.
Transfer of risk, acceptance of goods subject to reservation
The supplier shall bear the risk of damage to and destruction of the goods until acceptance of the goods by WWM. Delivery to WWM's incoming goods department shall in no case be regarded as handover or acceptance. Acceptance of the goods shall always be subject to an incoming goods inspection to be carried out at a later date by. Only the number of packages delivered (pallets, cartons, etc.) and the external integrity of the shipping packaging shall be acknowledged on receipt of the goods. The delivered goods shall be deemed to have been accepted by WWM if they have been subjected to an incoming goods inspection by authorised WWM employees. Only then do the goods become the responsibility and custody of WWM at. Details of the incoming goods inspection are regulated on a customer-specific basis and may therefore be subject to different conditions. If damage to the goods is already recognisable on delivery, WWM shall have this confirmed by the carrier on the consignment note.
Deviations from this guideline
The employees of the central WWM incoming goods department are responsible for monitoring compliance with this delivery guideline. For this purpose, the employees keep a checklist when receiving deliveries, according to which deviations from this guideline are determined and recorded in a defect report. Deliveries deviating from this guideline cause considerable effort in WWM's central incoming goods department for clarification and the receipt of goods deviating from standard processes. WWM reserves the right to charge the customer or the supplier for this additional work. In principle, invoicing shall be on a time and material basis. The customer or recipient of goods is responsible for the supplier's compliance with this guideline; WWM customer service will therefore communicate any defects to the customer.
Single item, storable delivery
In principle, a separate consignment must be delivered for each consignee. Mixed consignments, i.e. deliveries with goods for several consignees, are not permitted. Packaging units must always be delivered as single items. This means that several items may not be packed together in one tangible unit (packaging/delivery unit). Each packaging unit must be visibly labelled from the outside with the article number and quantity.
Delivery unit / sub-delivery unit
Items are to be delivered in fixed, controllable quantities (delivery unit). If the number of items per delivery unit deviates significantly from the expected delivery quantity, sensible constant partial quantities (sub-delivery unit) must be formed within a delivery unit. The separation between the sub-delivery units can be achieved, for example, by bundling, inserting sheets, interleaving or counting strips and must be adhered to for the entire delivery. Subsequent deliveries of an article must be made in the same delivery and sub-delivery units as the initial delivery.
In the case of residual quantities, the delivery quantity of the corresponding packaging unit must be specially labelled.
In the case of posters, a packaging unit must be made visible by inserting one counting strip per 100 pieces. Posters must be stacked at least 2 cm away from the edges. If a poster consists of several parts and these are not assembled into a set, the individual parts must be delivered separately on one pallet each.
Consignment note
The consignment note or forwarding agent's handover note describes the delivery externally and must contain at least the following information:
- Carrier
- Consignee (see 1.3)
- Client
- Total weight
- Number of packages
- Quantity and type of loading equipment used
Delivery note
Each delivery must be accompanied by a delivery note. The delivery note describes the contents of the delivery and must contain at least the following information:
- Supplier with address and contact person
- Delivery date
- Delivery address (see 1.3)
- Consignee (see 1.3)
- Article number
- Article description
- Total number of items in the consignment, if applicable, indication of the quantity still outstanding
- Number of items per delivery unit and sub-delivery unit
- Number of packages/pallets
The following information must be provided if relevant:
- Call-off number/order number of the recipient of the goods
- Deviations from the ordered quantity (over or under delivery with indication of the corresponding difference)
- Version of the material
- Best before date (BBD)
- Serial numbers or intervals with error/interruption log
For quantities, weights and dimensions, the values determined by WWM during the incoming goods inspection
are decisive.
Other documents to be carried
In the case of hazardous goods, a corresponding transport document must also be handed over in accordance with ADR regulations.
The delivery driver must be qualified to transport dangerous goods (ADR certificate). The vehicle must have a special ADR authorisation for the transport of dangerous goods (in particular equipment for labelling and carrying a fire extinguisher).
Information on the delivery unit
Each delivery unit (see section 2.2) must be labelled visibly from the outside with at least the following information:
- Consignee (see 1.3)
- Item number
- Item description
- Quantity per delivery unit and sub-delivery unit
- Version of the material
- Best before date
- Serial numbers or intervals
- In the case of hazardous goods, the hazard symbol and UN number (or LQ in the case of small quantities) must also be labelled.
If barcodes with the article number are used, these should be attached to the front of the delivery unit and be easy to scan with a lasergun or touchdown.
Euro pallet UIC standard 435-4
Untreated Euro pallets in accordance with the UIC standard are generally authorised as loading aids. The Euro pallets must be undamaged and in perfect condition, i.e. above all the wood must not be broken and all runners must be intact and continuous. The following dimensions must be observed and must not be exceeded at any point on the pallet:
- Maximum width 800 mm
- Maximum length 1,200 mm
- Maximum height 1,350 mm
- Maximum height 1,680 mm
- Maximum weight 1,000 kg
The above-mentioned dimensions may only be exceeded if the basic article dimensions exceed the basic dimensions of the Euro pallet or the article height exceeds the specified maximum height.
Pallet deliveries must always be kept clean. Sufficiently thick cardboard must be placed between each layer of a pallet.
Pallets must not be overpacked at any point. Bulging or skewed loads due to slipping as well as transport damage must be prevented by effective transport securing, for example with the aid of a cardboard box, shrink film or a band. Only transparent film should be used to secure the loading aids during transport in order to avoid additional work when receiving the goods. Straps are not permitted for securing the pallet. The materials used to secure the load must not exceed the maximum dimensions stated above and must not flutter. They must be secured or fastened in such a way that they do not cause any malfunctions in automatic warehouse operation (e.g. by the automatic contour check, which checks the above-mentioned maximum dimensions of the pallet). The foot clearance of the pallets must be guaranteed.
Only untreated Euro pallets in perfect condition will be exchanged. The exchange of IPPC-treated pallets cannot be guaranteed.
Packaging
The following are authorised as packaging materials:
Packaging:
- Cardboard boxes Corrugated cardboard / cardboard boxes with recycling guarantee, labelling only with environmentally compatible inks
- Films PET, PP labelled
- Strapping PE, PP labelled
- Cover boards Natural wood
Stickers:
- Stickers must not hinder the recycling of materials
Fillers:
- Only recyclable materials: e.g. corrugated cardboard
In addition, the respective regulations arising from the Closed Substance Cycle Waste Management Act, the Packaging Ordinance and the Hazardous Substances and Dangerous Goods Ordinance apply. All materials used for packaging must be clearly labelled with the ‘Green Dot’, the recycling symbol of Duale System Deutschland AG (DSD), and/or with the following recyclable material symbols in accordance with the legal requirements. Transport packaging that forms composite materials (e.g. paper stickers on film) have special disposal requirements. As the municipal cost structure cannot be overlooked at present, would like to draw your attention to this problem.
